Executive Assistant

The Executive Assistant will play a vital role in the management of a ‘CRO Office’.The CRO leads a global department of around 250 client-facing personnel and interacts with hundreds of clients and various industry bodies and groups based around the world. The EA will work closely with the CRO as they oversee this operation as well as supporting the CRO’s key reports – notably SVP of Client Ops and VP of Sales Strategy.


  • Support the CRO in managing their weekly, quarterly and annual schedule through effective diary management.

  • Manage travel arrangements globally and associated expenses.

  • Liaise with senior clients to diarise meetings and engagements.

  • Liaise with internal personnel to diarise meetings and engagements.

  • Liaise with industry groups and events to manage the CROs involvement and attend to support as required including undertaking any pre-event research.

  • Manage and attend top-team department meetings, recording notes and actions for follow-up.

  • Attend other key department meetings to record key notes and actions.

  • Work with marketing team to help execute departmental communications and events.

  • Liaise with ad-hoc EAs in London to manage CRO travel and diary, when they are outside US time zone which is approximately 40% of the year.

  • Support the creation of PowerPoint and word documents assisting the CRO.


Skills/Experience Required:

  • Experience of managing diary and organizing arrangements for a senior executive.

  • Excellent interpersonal skills, able to work well with senior and junior staff and clients.

  • Good media industry experience and familiar with the industry vernacular and dynamics.

  • Excellent organizational and project/task management skills with experience of managing multiple tasks in high-pressured situations.

  • Drive, motivation and savviness to operate at senior levels.

  • Excellent written skills and experience of writing brief reports and analysis and assisting in the creation of internal and client facing presentations.


Essential Qualifications:

  • 6+ years of relevant experience including some time as an EA.

  • Degree educated.

  • Based in LA and can be in office several days each week.

  • Flexible to work occasionally outside of office hours to support work schedule or events.

  • Excellent Microsoft office skills.


Pay Range:

  • $75,000/year - $77,000/year
